10 October 2003 Mill Cities Relay Meeting Gilly’s Basement

 

Present:  Jim Gilford, Dave Camire, Rosa Tejada, Chip Mann, Ed Mahoney, Tom Raiche, Skip Cleaver, Bob Menzie, Marshall McCloskey, Steve Grande, Carol Zanni, Brett Stevens, Sharon Yu

 

  1. The budget was discussed.  There is $2,988.69 in the account.
  2. The web site is up.  Its address is www.millcities.com.  Clubs are encouraged to connect to the web site.
  3. Marshall gave a merchandise report.  There will be knitted hats with the Mill Cities logo for sale.  Wind shirts will be purchased for the club presidents and board members.  Mike McCormick has the logo and Marshall will be contacting Mike for this.  50 extra wind shirts may be purchased for general sale.  Marshall will check the prices.  He will also get a couple of quotes on t-shirt prices.  Clubs will need to have their entries in by November 3rd to guarantee sizes.
  4. Course signage was discussed.  Dave C. has arrows and cones in storage that he will make available.  The second leg needs them along the course and at the entrance to the Voke school handoff.  The entry to the bike path also needs them.  There are 3 major intersections in the last leg.  Rosa will get a permit from the city of Lawrence, which will then give us auxiliary police on that part of the course.
  5. Tom will take care of the Nashua YMCA, portajohns and permits.
  6. Insurance is all set and has been mailed.  (Chip)
  7. There were two nominations for the Phil Quinn award, GLRR’s Dee Sullivan and GCS’s Warren Church.  Warren was chosen as this year’s winner.
  8. The same plan as last year is in place in the event of snow.
  9. There will clocks at each exchange point.  The PA system will be available.  The last leg will be off at 11:00 am, as last year.
  10. Travel arrangements will be made for Jack Pierce and Phil Quinn.
  11. Brett will get sodas.
  12. Numbers and registration will be available to all clubs the week before the race at the Andover Country Club X-Country race.  (11/30/03)
  13. There was discussion regarding the participation of Coastal.  Sybil has since emailed me that the club is very interested and will have 5 volunteers for their assignment, or more, if necessary.
  14. The next meeting will be at my house, Friday, November 14th at 7pm.
