17 November 2005 Mill Cities Relay Meeting @ the Winner’s Circle

  1. SISU was welcomed into the Relay.  They will be entering 2 teams.  Their duties will be number pick up at the Nashua Y.  The official starter will be Mark Donais, of SISU.
  2. Waiver requests were reviewed.  A total of 22 waivers were received and all requests were determined to be legit—no one trying to “stack” teams.  There was concern voiced with the number of requests received from Gate City and it was determined that this was due to a conflict within their club.  A motion was made to accept the entire list and re-evaluate the waiver rule next year.  A vote was taken:  ACCEPT: 13:  OPPOSED: 0.
  3. Dave C. passed around a picture with all the past Phil Quinn award winners on the front and a picture and brief write-up of this year’s winner on the back.  500 will be printed and distributed through out the hall as a way of informing the runners.
  4. This year’s giveaway bag was displayed.
  5. There was a review of club duties.  Rosa noted that the web site had last year’s date in some spots and needed to be updated.  The online app will also be adjusted so to fit all entries on one page.  The use of the KOC hall will be confirmed.  Jackie and her helper Hank will be informed of the number of runners expected so they can plan accordingly when preparing food.  It was estimated that we might have 155 teams this year.  There were 134 finishing teams last year.   React is still in business and will handle traffic in Nashua.  Bathrooms will be open at the Voke School in Tyngsboro.  It was requested that only team captains pick up their team’s batons and giveaways to cut down on the chaos at the start.  Giveaways may also be picked up at the Knights.   Club reps should communicate this to their clubs. 
  6. Course duties were reviewed.  Gary will bring the Sunshine Start batons to the start and this race will begin 30 minutes after the start in Nashua.  There is no need for a clock at the 2nd exchange, however there will be a clock at the last exchange.  All runners remaining at the last exchange will be sent off at 11am regardless if their teammate has handed off to them.  Rosa will provide an alternate route for cars to follow on the last leg.  Runners need to exchange batons in the exchange zone.
  7. There will be merchandise for sale at the Knights.  Beer sales will be handled by Athletic Alliance, North Shore Striders and Sandown Rouge Runners each volunteering for an hour.
  8. The 6th leg- the beer.  There will be a sign on the bar that no beer will be served until noontime.  It will be requested that beer be poured ahead of time and taps be kept open to try to cut down on the long lines.
  9. Other clubs have expressed interest in joining the Mill Cities alliance and this will be discussed at future meeting.
  10. The next meeting will take place sometime in January or February and will be more of a social get together similar to the one we had this year at Maria’s.
